Brown Deer Visioning Committee Minutes

Date: May 8, 2003

Members Present: Marty Ball, John Buckley, Barb Fleming, Mike Ganzer, Margaret Hirschi, Wayne Parker, Gregg Umipeg, Russ VanGompel, Barb Grant.  [John Buckley left early.]

Members Absent: Jeff Bersch, Mary Fitzgerald, Anne Lutz, Bob Oates, Carrie Weddle.

The meeting began at 7:00 pm and adjourned at approximately 10:00 pm.

Members approved the general tone and direction of Draft 8 of the community survey.  They asked if there were Village Board comments or any concerns identified.  VanGompel explained that he had updated the Board on Visioning Committee progress at the last meeting, and that the Village Board received both Drafts 7 and 8 and had not shared any observations to date.  After some discussion of the shared Board and Committee responsibilities, committee members agreed that they would try to attend the May 19th Village Board meeting to be available to answer questions, if any.  Van Gompel and PMP agreed to do a short presentation near the beginning of the meeting and during the public comment period.

The committee then reviewed, revised, and approved each of the questions in turn.

PMP was asked to revise and format the survey to become a colored, fold-and-return insert into the June newsletter.  The survey should be:

§         3-pages (back sided)

§         5-1/2 panels of questions plus 1/2 panel return address & directions

Fleming and Grant were asked to write an introduction to be printed in the newsletter itself.  Van Gompel was asked to provide the quadrant map in the newsletter itself, also.

Committee members agreed to look for and review the revised survey early next week so that it can be placed in the Village Board packets for review and approval.  Acceptance on this date would allow the survey to be mailed before school dismissed for the summer, thus increasing the expected percentage return.

The committee discussed alternative delivery and return scenarios and chose the normal newsletter carrier route delivery system.  Van Gompel agreed to check whether funding was available for paid return postage.  Committee members felt that this investment would also increase return rates.  They asked that surveys also be accepted at the Village hall and library, as was done with past surveys.

Grant reported that due to the WCMA conference schedule, neither she nor VanGompel would be available to meet June 12th.  The committee agreed to cancel the June 12th meeting and meet as scheduled on June 26th.
